The Position: Operations Administrative Assistant

Type: Full-time

Reports To: Division Manager

Key Responsibilities:

  • Process and organize incoming work requests.
  • Track and manage due dates for operational tasks and projects.
  • Support scheduling, meeting coordination, and action-item tracking.
  • Create and maintain spreadsheets, trackers, and data-driven reporting tools.
  • Generate reports through internal systems for project analysis and operational insights.
  • Enter invoices and support vendor documentation requirements.
  • Assist with procurement coordination.
  • Help track required employee certifications, safety credentials, and customer-specific compliance items.
  • Maintain filing systems, office organization, and equipment inventories.
  • Support logistics including travel coordination, meeting preparation, and field team scheduling.
  • Perform other duties as required.

Experience and Knowledge Expectations:

  • Associate or bachelor’s degree preferred, or an equivalent combination of education and relevant professional experience
  • Previous administrative or related professional experience preferred
  • Valid driver’s license with a clean driving record, if required to operate a company-issued vehicle
  • Proficiency with Microsoft Office Suite, Microsoft SharePoint, and Adobe Acrobat using current operating systems; experience with data collection software is an asset
  • Strong customer service skills with the ability to communicate effectively with employees, vendors, and guests at all levels
  • Proven ability to work independently, manage multiple priorities, and meet deadlines with minimal supervision
  • High attention to detail, strong organizational skills, and a self-motivated, flexible approach to work
  • Comfortable adapting to a fast-paced, dynamic, and evolving work environment.
  • Ability to read, write, and speak English at a level necessary to perform job duties and communicate clearly with colleagues and external partners
